Disposing after stocktake

Is there an easy way to remove items from the catalogue that have been deleted [in B1 D1] but still show up in webenquiry?
I know they are disposed because when I do an item search in OASIS it says disposed?

Items that have been marked as D for disposed will remain on your OASIS database (& therefore Web Enquiry) until you stocktake that location and when you finalise the stocktake you will be prompted with the question “Write off disposed items also?” to which you respond with Y = yes. Only then will they be finally removed from both catalogues.

Barcode font for disposing

 I use this method when disposing of large quantities of books. you need to download the 3 of 9 barcode font (free from the net) and put it into word – ask a techie to help if you need to! Then type in whatever you want with an asterisk at the beginning and end. I type *141010* (today’s date) and *OBSOLETE* in both barcode and normal font and print if off. I save myself a lot of typing (a good thing considering my typing skills!). You can’t have spaces, but you can overcome this by using full stops or dashes, and it can’t be too long or your scanner won’t cope

Global disposing

Is it possible to do a global disposal? I want to dispose of the PO’s and give them to staff. There is insufficient room in the new lib to house them.  Is this possible and how does one do it please? Time is short – we move next Monday and I’m teaching right up to then.

A stocktake of the location – initialise but don’t enter anything at H2 or H3. Print your reports and finalise, writing off everything missing as per today’s date. Attach a explanatory letter to the stocktake and keep for audit purposes.

Pretty sure the answer to this one is a straight :”NO, It can’t be done”……………….. (but because I desperately want the answer to be otherwise)………..
I have approx 300 books  ALL under 1 location :  DOT ( Dot Readers), and a decision has been made that they are not appropriately placed in the library and are going to “de-accessioned” and have a new life as Home Readers.

You have 2  choices: remove them off OASIS altogether OR change this location to something that signifies that they are housed elsewhere in the school. If you take the second option then you will need to make note to ensure that you never select A for All when initialising a stocktake, you should also include a statement in your procedure manual explaining why this decision was made so that the next TL knows what is going on. If you take the first option, then you must be certain that this change is permanent and that someone won’t make a decision in the future to relocate them back in to the library. Below is my suggestion of how to carry out the first option.

Firstly, are these the only items in that particular location on OASIS? If the answer is “No”, then in the steps below where the *asterisk is you will have to scan in the barcodes of those resources in that location that you wish to retain.

My suggestion would be to initialise a stocktake of only that selected location, B2 H1, S = Select then enter DOT as the location. Do not scan any of the readers in*. Do a Weekly Housekeeping (B4 N4). Then go back to B2 H5, S = Select finalise that location. The next day (or whenever you are next working in the library). Initialise that location again, don’t scan in any of the readers*. Do the Weekly Housekeeping again. Then go back to B2 H5, S = Select and this time when you are prompted with the question “write off items missing before (insert date)” enter that day’s date. OASIS will then write off those items that were marked as “missing” yesterday. When you print out the reports at the end, attach a cover sheet explaining that the items were not “missing” but were no longer part of the library collection. I would get my Principal to sign off on that to ensure that the auditors are happy. Don’t forget to remove the location from your Authority Files when you have finished.

Duplicate accession and disposing

Duplicate accession

I’ve just been disposing of books and have come across the second one that doesn’t work due to a “duplicate accession number” Is there a way to overide this?

Have you tried by barcode rather than accession number?
