Global change

I wonder if some one can help – I need to do a global change for two sections of my library that don’t have locations, this is Fiction  (I want to add FIC to the location) and Non- Fiction (NF to location).
 
Change Location is the menu item that you want. It is found at B4 P2. Make sure that you have added the new locations in B1 B4 before you begin the change location.. Do your fiction first:
 
“Old location” = blank
“From Classification” = F
Suffix = “blank”
“To Classification” = F
Suffix = ZZZ
“New Location” = FIC
C = Confirm
 
If you have any other fiction resources that have a different classification letter other than F, then you need to do those as well.
 
Non-fiction you do the same except your classifications would be from 000 & to 999, followed by from A800 to A899.
 
Once you’ve finished go into Library Enquiry (not Web Enquiry) and look and see if you have anything left without a location that didn’t fit into the ranges that you set.
 
 
 
 

Location fields

At some point in the dim past, the location inscriptions for books were removed-
Fiction and nonfiction fields are blank. Is there an easy way of reinstating them?
 
Firstly, go into B1 B4 – Location  Authority Files and add your new locations.
 
Then go to B4 P2 – Change Location.
 
For your fiction:
“Old Location” = “blank”
“From Classification” = F
Suffix = AAA
“To Classification” = F
Suffix = ZZZ
“New Location” = whatever location code you have created for fiction
 
For your non-fiction:
“Old Location” = “blank”
“From Classification” = 000
Suffix = AAA
“To Classification” = 999
Suffix = ZZZ
“New Location” = whatever location code you have created for non-fiction
 
To do the A800s
“Old Location” = “blank”
“From Classification” = A800
Suffix = AAA
“To Classification” = A899
Suffix = ZZZ
“New Location” = whatever location code you have created for non-fiction
 
If you have any “odd” classifications in your fiction, i.e. non-standard SCIS classification of F, then you will also need to fix those as well.
 
The reason that I have specified the non-fiction in 2 steps instead of from 000 AAA to ZZZ ZZZ is to ensure that the fiction resources don’t get “caught” in the range.
 
 

Number of resources in a location

Is there a quick report that I can run to show the no. of books in a location please?  I am preparing for another solo stocktake and want to show some statistical proof of need for time off the RFF timetable in the last 2 weeks in order to complete the stocktake.

1) B2, H4 <O>other, <A>all, <S>summary will give a total number of books for each section in the library, and their starting and finishing classification numbers. An invaluable report for stocktaking! Of course, you could just run the report for one location by choosing <S>select, if you like.

2) Sample Report LIBRARY35 does exactly what you want. Go to F2, select S = Source, arrow down to Sample Reports & scroll down to LIBRARY35.

 

Location change

Our teaching resources collection used to be housed in the staffroom.  It has now been relocated to the library and to the photocopying room (for BLMs).  They all still have SR (for Staff Room) as the location.  I am wondering should I change the locations or leave as SR? And if so, to what?  Would TR be ok for all, or should the part of the collection that is in the photocopy room be given a different location.  All suggestions welcome and thanks in advance.

Personally I feel that if the resources are physically located in 2 different places then they should have different locations on OASIS. What about PCR as the location for the items in the PhotoCopier Room?
The other stuff that is in the library could have TR for their location.

You can change location in B4 P2. If you choose to have the 2 different locations then I would change them all from SR to whichever new location has the largest number of resources (presumably the TR group). Then you would have to manually change the resources in the photocopier room individually in B1 D1 to PCR.

 I need to delete a location & change it to another location. Does anyone know how to do this ?
 

First – don’t delete the location until you have moved all the items!!!! Go to B4, P2 Reports and Utilities,Change Location and put in the classification range for the location to be deleted and confirm. you can search in enquiry to make sure this has happened. Then go to B1, B4 Management, Location authority files to delete the location.

 

Reference

Can you help an untrained but enthusiastic temporary TL. We have some Where’s Wally books which are labelled R  Reference. Is Reference supposed to mean  that they are not to be borrowed? The system allows them to be borrowed so I am a little confused. When I go into B1 D1 it says they are R.
My question is are books that are labelled R allowed to be borrowed or not? Should I change it in OASIS so that they cannot be borrowed? What do you think is best?
There could be a couple of reasons why this is occurring. My guess is that these particular books were in your regular collection & someone chose to re-locate them into the Reference Collection but did not change the loan type just the location in OASIS.

By labeled R for Reference you are referring to the location I assume. Location really doesn’t have anything to do with actual loan type, but you can set things up so that anything in a particular location has a specific loan type, such as “anything in Reference is not for loan” OR “everything in N-F has a loan period of 2 weeks”.

Firstly you need to check what loan type your Where’s Wally books have. Go into B1 D1 & call the book up, select C = Copies and have a look at the loan type. Is the code G or another letter? If it is G, then that is what you need to change. What are the loan type codes that your library has? Is there one for “not for loan”? If not then that is why all your Reference resources are able to be borrowed by students – you’ll need to add one. I’ve attached my instruction sheet for a “global change” of loan types in a particular location, which would be the simplest way of ensuring that all your Reference Collection has the “correct” loan type.

The loan type code is what determines the actual loan period of a resource. At my school I have set up the code X for all resources in the Reference Collection. In B2 D2 you then get to set what the actual loan periods are for the different loan types & borrower types. For example, a resource that has G (General) loan type can be set up so that the resources are a 2 week loan for students & a month loan for teachers. So if you want to allow teachers to borrower Reference resources but not students then you need to set this up in your Borrower Loan Categories, B2 D2. Move the cursor next to the borrower whose loan type you want to edit & select L = Loans, a list of all the loan types & due dates you have for those borrowers will appear. To stop students from borrowing Reference resources, move the cursor next to the reference loan type & select E = Edit and give the number of days as 0 (zero) OR just delete the code from the students’ list of loan types. Either way will result
  in the students getting the “not authorised” message if they go to borrow resources from the Reference Collection. (If at any time you do want to permit a particular borrower to borrow a resource that they aren’t authorised to borrow, then you scan in OVERRIDE when the unauthorised message appears & manually enter a due date.
