Year 12 leavers

Hi I was hoping that someone could tell me how I would check what year 12 students haven’t returned English textbooks. The English teacher asked if I could check what books haven’t been returned yet. We have already generated a calendar for next year and since roll over the year 12 students are no longer in the system. Having a crash course in Oasis as my library admin has retired…

 
  • We still have our Year 12s on Oasis Library. They will be there until Oasis Admin send us the list of the Year 12s who have officially left. It depends on how you operate at your school. For a start it sounds like your Library catalogues English texts. We don’t as it is really the responsibility of individual faculties to look after their texts. (The Department recognises this and actually advises against this). However, if you have ended up in this situation then it will be a lot of extra work with complications. At our school, students must bring around a ‘Leaver’s Form’ and have it signed by Library, English, Maths, etc.If a book is outstanding then the form is not signed and the name of the book and cost are written. Sometimes, students will of course still leave with books outstanding in which case our office sends a letter asking for payment or the return of the books. Sometimes this also means we mark the book as missing and if it does eventually return, then it goes back on the system when returned via the circulation desk.Some schools type the name of the last borrower on Oasis.
    Your school should have had a similar system in place. We have generated a new calendar but the Year 12s are still there. A couple have still not returned books. If you had ‘Leaver’s Forms’ we would assume they are filed somewhere so if the Year 12s are not on Oasis Library then you will have to cross check names with forms. Hope this helps.

OASIS Ordering

I have used OASIS to make orders but the supplier can’t fulfill an order. How do I get rid of this from OASIS?

Go in to Receive Order (B3 C1) call up the order and then receive 0 copies for each item.

I do all my ordering through Oasis. I dont believe it is a waste of time even when I have the books because typing them in in B3/B1 imediately includes them on the database. I just type title and ISBN on the order. After I receive these books through C1 I then do the SCIS update for the rest of the record. I also find this module valuable in keeping a record of my budget.

Security levels

Operator codes are used in OASIS to assign varying levels of access levels. On the main menus each option listed is linked to these security codes. There is a total of 10 levels that apply to the day to day use of the OASIS system

1 – Library Modules  

2 – Administration Modules  

3 – Design and Run Reports  

4 - Run Report Generator Reports

5 – Backup of OASIS, OASIS Word & OASIS dB

6 – SENTINAL

7 – Tutorial – Palm Tree Central

8 – System Administrator –System Maintenance

9 – Timetable

10 – Installer / Support

If an Operator is given ONLY Level 1 or Level 2 security it will permit them to access the OASIS main menu and enter the module but will have no access within the module.

Module Security Access to options within a OASIS module are assigned by a second level of Security Codes. Operators can be assigned Read Only, Read/Write or Read/Write/Delete Permissions

Definition of access levels Read Only – Allows the operator to view the data but is unable to edit the information displayed.

Read/Write – Allows the operator to edit data as well as viewing.

Read/Write/Delete – Allows the operator to delete data and perform editing functions.

Security level for stocktake purposes – doesn’t allow access to Initialise (B2 H1) or Finalise (B2 H5) . Use 145B.

Citrix download

If you haven’t installed the new Citrix Client you can use the New Borrowers list in Sample Reports (Library121) this uses loan limits to identify new Borrowers (limit = 0) so it will also pickup any recalcitrants you have removed borrowing rights from (if any, you probably know the ones!).

OASIS – Tasks

These are all found in B4 Reports & Utilities:

 * M1 – Hide Unused Subject Headings, select R = Remove rather than Hide.
 * N5 – Remove Unused Keywords
 * M2 – Check See References, this will look for any anomalies in your see reference structure. The errors usually occurred as a result of manual entry of resources and subject headings rather than SCIS downloads.
 * P5 – Check Duplicate Subjects, again often the result of manual entries.

Spacing and font

Space this report by;

enter the roll class you want or whatever
<F10>

then <save> the file in “word on OASIS” in the “library folder”

then go to <A2> microsoft word in the OASIS main menu page and open word on
OASIS

Then open the file you have just saved.

Now you can edit the formating and page layout and print with the barcodes
as spread out as much you like.

as my computer has code 39 font on it already, you may have to download this
font as per instructions in the scan issue for Feb. 2010

Citrix Client 12.1

If you decide to download the Citrix Client 12.1 do so on your office PC not the Circulation terminal.  It can be downloaded from the link on the OASIS Welcome page.  Click on ?Download?.  After a few seconds will prompt to ?Run?, click on ?Run?.  After another few seconds will prompt to ?Run? again, click on ?Run?.  Once it has installed reboot your PC.

Have we been given the official go ahead for the updated Citrix Client yet? The discussion on this list a fortnight ago was we still had to wait for the official say so. The OASIS log on page still says the new version is that recommended for Windows XP and new computers with Windows 7 have to use it (but how many of them are in libraries??) but the last “official” word I had was to wait.

Meanwhile primary schools need the barcoded list facility NOW and anyone who wants to convert from borrower card numbers to ERNs also wants the facility offered by the update ASAP because we’re doing the new cards for the year now. Shouldn’t any testing have been done so that we could start the new year with the new options when we need them?

It seems there may also be some other glitches with the new Citrix that might occur with SCIS downloads. My SAO has had trouble on her station after we
installed the new Citrix, ie in how to save & access the downloads to upload to OASIS (after they were saved, it wouldn’t let her get to them to upload, & IT
Support have recommended that we just install the Citrix 12 on ONE machine, to get the lovely Barcode lists, but not on others as it affects the SCIS processing
as well. I’ve been really busy so I’m hearing it second-hand, and I have not yet attempted a SCIS on my logins & machine which I upgraded first, to compare to her
experience, but it looks like I might have to uninstall it on hers. So this is just a word of caution & I recommend you contact IT Support for further guidance.
