Security levels

Operator codes are used in OASIS to assign varying levels of access levels. On the main menus each option listed is linked to these security codes. There is a total of 10 levels that apply to the day to day use of the OASIS system
1 – Library Modules
2 – Administration Modules
3 – Design and Run Reports
4 - Run Report Generator Reports
5 – Backup of OASIS, OASIS Word & OASIS dB
6 – SENTINAL
7 – Tutorial – Palm Tree Central
8 – System Administrator –System Maintenance
9 – Timetable
10 – Installer / Support
If an Operator is given ONLY Level 1 or Level 2 security it will permit them to access the OASIS main menu and enter the module but will have no access within the module.
Module Security Access to options within a OASIS module are assigned by a second level of Security Codes. Operators can be assigned Read Only, Read/Write or Read/Write/Delete Permissions
Definition of access levels Read Only – Allows the operator to view the data but is unable to edit the information displayed.
Read/Write – Allows the operator to edit data as well as viewing.
Read/Write/Delete – Allows the operator to delete data and perform editing functions.
Security level for stocktake purposes – doesn’t allow access to Initialise (B2 H1) or Finalise (B2 H5) . Use 145B.

Disposing after stocktake

Is there an easy way to remove items from the catalogue that have been deleted [in B1 D1] but still show up in webenquiry?
I know they are disposed because when I do an item search in OASIS it says disposed?
Items that have been marked as D for disposed will remain on your OASIS database (& therefore Web Enquiry) until you stocktake that location and when you finalise the stocktake you will be prompted with the question “Write off disposed items also?” to which you respond with Y = yes. Only then will they be finally removed from both catalogues.

Citrix Client 12.1

If you decide to download the Citrix Client 12.1 do so on your office PC not the Circulation terminal. It can be downloaded from the link on the OASIS Welcome page. Click on ?Download?. After a few seconds will prompt to ?Run?, click on ?Run?. After another few seconds will prompt to ?Run? again, click on ?Run?. Once it has installed reboot your PC.
Have we been given the official go ahead for the updated Citrix Client yet? The discussion on this list a fortnight ago was we still had to wait for the official say so. The OASIS log on page still says the new version is that recommended for Windows XP and new computers with Windows 7 have to use it (but how many of them are in libraries??) but the last “official” word I had was to wait.
Meanwhile primary schools need the barcoded list facility NOW and anyone who wants to convert from borrower card numbers to ERNs also wants the facility offered by the update ASAP because we’re doing the new cards for the year now. Shouldn’t any testing have been done so that we could start the new year with the new options when we need them?
It seems there may also be some other glitches with the new Citrix that might occur with SCIS downloads. My SAO has had trouble on her station after we
installed the new Citrix, ie in how to save & access the downloads to upload to OASIS (after they were saved, it wouldn’t let her get to them to upload, & IT
Support have recommended that we just install the Citrix 12 on ONE machine, to get the lovely Barcode lists, but not on others as it affects the SCIS processing
as well. I’ve been really busy so I’m hearing it second-hand, and I have not yet attempted a SCIS on my logins & machine which I upgraded first, to compare to her
experience, but it looks like I might have to uninstall it on hers. So this is just a word of caution & I recommend you contact IT Support for further guidance.

Loan history- report of location

I want to find out which parts of my non-fiction dewey class have not been borrowed for more than three years. I want to find this out because I am looking at culling this section of the library.
Which report do I generate to do this?
Does restting the borrower usage B4/I4 interfere with this?
Also, when I purge the loan history (B2/R1) how far should I go back?
First you need to perform Weekly Housekeeping (B4 N4). Rather than use a Sample Report there is a report in the Historical Usage section that could do the job for you. Re-setting the Borrower Usage (B4 I4) will not affect these figures – if you selected Rest Resource Usage (B4 I2) then you would have figures that only go back as far as when the reset was performed.
Got to B4 I1, select C = Continue then L = Location & S = Select. You can now enter a range by location and call number.

I used the guide by Jim Koen from Scan but I can’t lay my hands on it now.

Overdues- Leavers and refresh

Is there a way of printing out “write offs” from kids who either don’t sign out, or “go bush”, or but take our books with them. In some cases we don’t actually get a forwarding address, or they go to some private school that is outside our network. They inevitably do take to good books with them, but we’re getting close to several hundred dollars at this stage, so while I’m glad they like the resources it’s an expensive sponsorship.
Yes, we do have a form in the school that includes checking with the library to sign out, but it just doen’t always happen. I know supposedly they do have to sign out before the next school can accept them.
So, is there any report to be able to print out these borrowers and their book details to highlight the problem?
After the refresh is complete you get a report of “Students unable to be deleted due to outstanding loans”.
That is the only report set up to produce a list of students who are still on OASIS Library with outstanding loans but have been remove from Admin & therefore cannot be automatically removed from OASIS Library.

Overdues, Printing of

Due to some cabling work going on in the library at the moment (hammering & drilling through concrete are great background noise!), I had to rethink how to print out overdue notices that I wanted done today, as my computer couldn’t connect to the printer it normally goes to. Anyway, upshot was that I now have my overdue notices and they are now printed in a slightly larger font! Making it a little easier on the eyes.
To do this all you need to do is when the window opens up with the overdue notices after you’ve selected P = Print, choose “Save” and then save as a web page (it is the default, you don’t get a choice of file type) onto you computer (I selected desktop). Minimise OASIS, and open the file on the desktop – it’ll be the one that has a Firefox symbol and an 8 digit number. Now print it.

Stocktake reports as a digital file

Does anyone have step-by-step instructions on how to save stocktake reports as a digital file? I want to combine into one document the reports of “Items previously missing” of each section instead of printing off A4 sheets with only 1 item on it.
It’s a simple matter of printing to file instead of the printer. I just make a folder on my home drive and print to file. The reports are saved as web pages but easily retrieved when you need to view or print.
