Abbreviated entries

If you have an item, which is needed immediately by a staff member, you are
able to enter an abbreviated entry and update the record from SCIS when you
do your next download.

Select B1/D2 Abbreviated Entry;

Enter the title exactly, including correct punctuation – this is crucial.
Enter through all other fields.

In the Cataloguing area, enter the ISBN; enter through all other fields.

Accept the barcode and Accession number allocated & enter the supplier and
cost.

 

Make sure you write down the ISBN for inclusion on the next SCIS download.
If you have records such as this, choose <U>pdate rather than <A>dd in the
SCIS download to OASIS. During the update, the bibliographic details will be
added to the abbreviated entry.

 

So how did I handle this in a real school – 3 days a week, classes etc?…..

1.      Booksellers came [usually in a van]; teachers wrote down selections
on a wish list with names next to books they’d like. This meant they would
get them first, usually that day or next.

2.      Items purchased depending on funds availability/needs etc.

3.      Items entered into OASIS via B1/D2 Abbreviated Entry [see above].
Title MUST be exact [including punctuation] – use the inside details, not
the cover. Give it the loan category & Location that it will be going into,
enter supplier/cost details [the stuff you normally do in an Edit after a
scis download]

4.      Put barcode on book, write spine label inside book [for labelling
later], stamp book, Accession Number.

5.      Write down the ISBN for later adding to a SCIS download.

6.      Loan the item out to the person requesting it. Have a small bookmark
inside with a note on it [This book has only been partly processed, please
return it to me on {day/date} for covering. I'll get it straight back to
you. Many thanks, Sue] That day would be when my SAO was in – that was when
labels & covering were done as a priority & delivered back.

7.      Next SCIS order, add the ISBN’s from the list [Step 5] to other
items being catalogued. Process the order

8.      When downloading to OASIS, Select <U>pdate rather than Add. OASIS
will update first attaching bibliographic records to those items which have
abbreviated entries & then adding those that are new.

9.      Just in case you’re a sceptic, check the records of the updated
entries & they will now have the details attached to them.

10.  Staff were really happy with this & so was I
