Overdues- Leavers and refresh

Is there a way of printing out “write offs” from kids who either don’t sign out, or “go bush”, or but take our books with them. In some cases we don’t actually get a forwarding address, or they go to some private school that is outside our network. They inevitably do take to good books with them, but we’re getting close to several hundred dollars at this stage, so while I’m glad they like the resources it’s an expensive sponsorship.

Yes, we do have a form in the school that includes checking with the library to sign out, but it just doen’t always happen. I know supposedly they do have to sign out before the next school can accept them.

So, is there any report to be able to print out  these borrowers and their book details to highlight the problem?

When you do a Refresh Students one of the options is to “Remove students who have left and have no current loans?” default is “N” change to “Y” (don’t ask me why the default is set to “no”.)
After the refresh is complete you get a report of “Students unable to be deleted due to outstanding loans”.

That is the only report set up to produce a list of students who are still on OASIS Library with outstanding loans but have been remove from Admin & therefore cannot be automatically removed from OASIS Library.

Overdues, Printing of

Due to some cabling work going on in the library at the moment (hammering & drilling through concrete are great background noise!), I had to rethink how to print out overdue notices that I wanted done today, as my computer couldn’t connect to the printer it normally goes to. Anyway, upshot was that I now have my overdue notices and they are now printed in a slightly larger font! Making it a little easier on the eyes.

To do this all you need to do is when the window opens up with the overdue notices after you’ve selected P = Print, choose “Save” and then save as a web page (it is the default, you don’t get a choice of file type) onto you computer (I selected desktop). Minimise OASIS, and open the file on the desktop – it’ll be the one that has a Firefox symbol and an 8 digit number. Now print it.

External borrower, parents, etc.

 The principal at my school has asked me to set up a library for parents to borrow from containing books and DVDs etc relating to primary children. I was wondering if anyone has this sort of library and whether all the books are accessioned. Do you use an honesty system for borrowing eg write your name in a book when you take a resource or do the items get borrowed out on their child’s card?

I would be accessioning them through the library (you might want to make them a separate location). Then make the parents external borrowers – B2, A1 <A>Add. If you have never had external borrowers before, you will need to go to B2, D2 and add External to borrowers and then <L> Loans and decide what borrowing rights you want to assign.

Stocktake reports as a digital file

Does anyone have step-by-step instructions on how to save stocktake reports as a digital file?  I want to combine into one document the reports of “Items previously missing” of each section instead of printing off A4 sheets with only 1 item on it.

It’s a simple matter of printing to file instead of the printer. I just make a folder on my home drive and print to file. The reports are saved as web pages but easily retrieved when you need to view or print.

Loan history for student

I am wanting to find the loan history for one of our secondary students. I have done a B2/O1 and selected D-student/B-borrower/I-individual and found the students name however the message comes back that there are no borrowers with loans in this range – I know there is!
 I have traced this problem back to the creation of 2 new borrower categories to differentiate between our primary, middle and senior secondary students in our central school. It would appear that the new borrower categories of M – middle (yrs 5-8) and S – senior (yrs 9-12) (which work fine in all other ways) are not available in this module?
  
  
Have different borrower categories won’t affect a thing (I have J = junior & S = senior so they can have different length loan periods).
You need to give OASIS range of borrowers’ names for it to produce any information, e.g. in the “From” space I would put Sheppard, in the “To” space I would put Sheppare
By doing this OASIS will produce a list  for all borrowers with Sheppard as their surname.
 

Report for books not borrowed

Is there an Oasis report that will tell me which resources have not been borrowed, say in the last 3 years?

Also just also want to say that this network of ours has been so helpful and informative for me.  I am new to the Department and Oasis, so often the information that I have accessed here has been a lifesaver.

There are Resource Usage Reports in the OASIS Sample Reports. To locate them select F2 (Run Reports)from the OASIS Main Menu. Then select S = Source, arrow down once to “Sample Reports” & press Enter. If your scroll down the list using the PgDn key you will see the list of Sample Reports. The Resource Usage ones are LIBRARY41 to LIBRARY48. You “should” have a binder that has “OASIS Library Sample Reports” on the spine, this has a copy of what each report looks like so you can decide which one suits your needs. LIBRARY48 may be the best one as it has “Due Date” in it.
You may also have some useful User reports that have been designed by TLs that could more suit your needs. So once you have gone into “Run Reports” before you go to the Sample Reports, scroll down the list of “User Reports” to see what you already have in your library’s OASIS reports. You may find a report there that meets your requirement better than the Sample Reports.

The difference between “Sample Reports” and “User Reports” is that all the schools have the “Sample Reports”. The “User Reports” are ones that have been designed by various OASIS Library users who then save them to their school’s OASIS Reports as well as reports designed by other OASIS Library users who have generously given copies of their user-designed reports for others to have on their system.

OASIS access

I haven’t actually found any disadvantages, other than very occasionally the kiosk will disappear and need the password to be re-instated, so make sure you get that from the techs when the kiosks are installed. Also, with my regular SAO on LSL at the moment, her replacement, who is a new casual to the system, cannot access the kiosks at circulation unless I have logged on to the network first. The SAM or Principal apparently still hasn’t given her the ticks for OASIS so although she can get on to the school network, there is nothing there for her when she does. I would have thought that the kiosks would have allowed casual SAOs and TLs to get circulation operational, so that is disappointing. I asked for a kiosk on a work room station but the techs wouldn’t provide it – only enquiry and circulation.

I would request of your Principal to give you AMU authority access to OASIS. What this does is give you the “rights” to “tick” a staff member to enable them to have OASIS access at your school via the portal when they log in. Your AMU access will b set so that you can only authorise usage for a specific application, in this case it would be OASIS. Explain in your request that this would make things easier whenever a casual SAO or TL works in your school if you can authorise them yourself. (You can also de-authorise anyone once they no longer require access at your school.) I have this AMU access and it come in really handy for times like now when I’m on LSL, I just authorise the casual who is replacing me. I then remove that authorisation once I’ve returned from leave. (You still have to go into OASIS in L3 D1 and add them as a user.)

As to kiosks, when the regional tech team came to our school we had to really fight for them to set up the circulation kiosk to not log in as a staff member. We had to explain the purpose of the circulation kiosk, and that no-one “owned” that computer. That it really needed a dummy login that had no access to the school’s intranet. They were quit puzzled by this as they had “done” other schools in the region and no-one had picked them up on this issue. We explained that the receipting kiosk at the front office would also require a similar style of login. Eventually they came up with something suitable. Seems that this was “outside their brief”.

Textbooks-deletion of

We have been process Maths and English textbooks through the library. Now Maths have decided they no longer need this service (what a pity ?) so we want to remove them from the system. Is there a quick way to do this? I?d like to get on to it before they change their mind.

Do these Maths textbooks have their own location? If so then you could do a “stocktake” of them and then you could get OASIS to automatically remove them as “missing”, i.e. you Initialise stocktake for that specific location range, don’t scan in any of the barcodes, carry out a Weekly Housekeeping, then Finalise the “stocktake” for that location range, (this results in all the textbooks being considered as “missing”). The next day go in and repeat the process, but when in the finalisation stage you are asked to write off resources missing before a certain date put in that days date, therefore all the “missing” from the day before will be removed. When doing the printout make sure that you select the Abbreviated one so that you don’t waste paper. I would keep this paperwork on file along with a covering letter explaining what you did & why you did it, i.e. removing the textbooks from OASIS as directed by the Maths Head Teacher so that the you figures make sense ofr the auditors.

Number of items by a single borrower

I need a list of all the books borrowed for this year for a student who hasn’t been entering her PRC books.  I’ve looked in B4 Reports and F2 Run Reports but can’t find how to extract this info.  Can someone please point me in the right direction?  There has to be a way to get this information.

B4 I3 only tells you how many books have been borrowed.  I need a list of their titles to add to the PRC sheet for the student.

If you go into B4 – Reports and utilities.
 I3- Borrower usage report.  This may take a little while but it will get you what you are after.
